Records Management Specialist for provincial government agency client, downtown Toronto.

Assignment Term: ASAP to September 18, 2025.
Compensation: $40 per hour to $58.33 per hour, according to experience.
Regular Work Hours: FULL TIME HOURS – 7.25 hours per day not including 1 hour unpaid lunch break, to be worked during regular business hours, Monday to Friday (36.25 work hours per week).
Work Location: Hybrid – combination of remote-based and onsite at our client’s downtown Toronto office, near TTC station.
Responsibilities Summary:
Oversee enterprise level Records Management and Information Risk Management Program, ensuring compliance with applicable legislation and risk management policies and best practices.
- Coordinate records management life cycle in accordance with Ontario Archivist-approved Records Retention Schedule.
- Develop database schedules in coordination with Information Technology team.
- Establish and implement records management procedures and processes in alignment with organization policies and directives, and supporting robust service quality standards and performance measures.
- Monitor and maintain computerized inventory of data assets in accordance with policy directives.
- Monitor and evaluate records management program, identify and report risks to senior management, and adopt risk mitigation strategies.
- Review source documents, directives and legislation related to enterprise level Records Management and Digital Assets.
- Research records management principles and best practices, quantitative and qualitative methodologies and project management techniques, to plan and coordinate records and risk management policy implementation projects.
- Assess impact of policy and program frameworks on stakeholder interests, funding governance, and service delivery.
- Advise management and staff on all aspects and implications of records management program proposals and design, including risk control issues, and alignment with audit directives.
- Representing organization in consultations with inter-jurisdictional stakeholder working groups and committees, and participate in review, evaluation and identification of broader records and associated risk management issues.
- Additional records management and risk management program responsibilities as required.
Qualifications:
Education: Post Secondary Degree in applicable discipline, or equivalent combination of education and work experience.
Preferred Work Experience: At least 7+ years of progressive experience in enterprise level records and information risk management and policy development.
Preferred Sector Experience: Public sector experience preferred.
Technical and Language Skills Requirements:
- Proficiency in MSOffice (Word, Outlook, Excel, PowerPoint) to research and prepare own materials.
- Sound knowledge of database online file management applications.
- Strong English communication skills, including advanced level business writing skills, and verbal presentation skills suitable to a range of audiences.

- Demonstrated knowledge of records management enterprise risk management and file management policy and program development principles and methodologies.
- Demonstrated knowledge of relevant provincial legislation and strategic directions pertaining to Records Management, and related critical issues.
- Demonstrated record of professional conduct and character. Responsible, reliable and works to deadlines.
- Proven ability to respond to sensitive and confidential matters with tact, discretion, and excellent judgement in the interpretation and application of instructions and organization policy.
- Demonstrated ability to apply project management principles, methodologies and best practices.
- Demonstrated ability to work well both independently and collaboratively, and in an advisory capacity, and liaise effectively with a wide and diverse range of internal and external stakeholders.
Additional Requirements:
- Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
- Ability to work both remotely and onsite, abiding by organization health and safety policies.
- Ability to declare personal Non-Conflict of Interest in execution of assignment / position responsibilities.
- Provision of certification of AODA and OHSA online training course completion prior to assignment start.
