Privacy Officer for community social services client, Mississauga head office.

Job Type: Temporary.
Initial Term: ASAP for 4 months, with possibility of extension or direct-hire
Compensation: $29.57 per hour to $36.58 per hour.
Regular Work Hours:  9 am to 5 pm not including 1 hour unpaid lunch, Monday to Friday (35 work hours per week).  Occasional flexibility to work outside of regular office hours and/or paid overtime may be required to meet volume or deadline targets.
Work Location: Hybrid – combination of remote-based and onsite at Client’s Mississauga office.  Free parking provided.

Responsibilities Summary:    
To review records and information for exemptions, and formulate access decisions under governing legislation.  To prepare responses to access and disclosure requests including records checks, court ordered file disclosures, and requests from clients, former clients, legal representatives, government agencies, and treatment or service providers.

  • Promptly process access and disclosure requests, including clarifying requested information; conducting searches; identifying and obtaining requested records; processing correspondence; completing reports, summaries and forms; gathering statistics; printing, redacting and copying file information; and all other tasks pertaining to disclosure.
  • Prepare information for disclosure following prescribed policies, guidelines, procedures, legal requirements, legislation and timelines. 
  • Balance right of access with protection of personal and confidential information in accordance with governing legislation and regulations, and Information and Privacy Commissioner’s Orders.
  • Ensure Notification Requirements met in accordance with legislative provisions. Prepare Disclosure Summary Letters in collaboration with Team Leader.
  • Provide Disclosure Policy and Procedures Information Sessions to staff.  Act as information resource to staff related to Disclosure related matters, in consultation with Legal Counsel.
  • Contribute to ongoing development, implementation and compliance monitoring of information management policies and procedures, ensuring identification and resolution of all disclosure and privacy concerns, requirements and responsibilities.
  • Additional privacy and disclosure related responsibilities as required.

Qualifications: 
Education:  Post Secondary Degree or Diploma in Records Management, Library Science, Information Management or Business Administration, or approved equivalent combination of education and experience.
Preferred Work Experience:  At least 2+ years of related experience in disclosure or privacy protection.

Technical and Language Skills Requirements:  

  • Advanced proficiency in MSOffice applications, specifically Word, Excel, Outlook, PowerPoint and SharePoint (may be tested).
  • Proficiency in Adobe Acrobat
  • Proficiency with online databases and records management systems.  
  • Ability to use microfilm for reading and document copying.
  • Overall, strong technical proficiency and comfort utilizing software applications.
  • Advanced English communication skills, both written and verbal, including expert level business writing skills. Professional telephone manners.

Task -Based Qualifications and Additional Attributes:     

  • Sound knowledge of and familiarity with Personal Health Information Protection Act (PHIPA); Personal Information Protection and Electronic Documents Act (PIPEDA);  Freedom of Information Protection of Privacy Act (FIPPA); Orders of Information from Office of the Information and Privacy Commissioner.
  • Demonstrated record of professional conduct and character. Responsible, reliable and works to deadlines. 
  • Pleasant and courteous: demonstrated commitment to client service and professional representation of the organization.  
  • Proficient de-escalation skills.  Ability to surmount internal and external job pressures.

  • Demonstrated successful experience of prioritizing work, making decisions and communicating with others within a values framework of respect, equity, anti-racism, diversity and inclusivity.

Additional Requirements:    

  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to work both remotely and onsite as required, abiding by organization health and safety policies.
  • Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities prior to assignment start.
  • Provision of certification of AODA and OHSA online training course completion prior to assignment start.
  • Provision of certification of full COVID-19 vaccination series prior to assignment start.  
  • Satisfactory Background Checks, Technical Skills Evaluations, and Employment References.
