HR Administrative Coordinator for provincial government agency client, downtown Toronto.

Job Type: Temporary, with possibility of extension or direct hire.
Initial Term:  ASAP to March 31, 2023.
Compensation: $25.60 per hour to $32.05 per hour, according to experience.

Regular Work Hours: 8:30 am to 4:30 pm not including unpaid .75 hour lunch break, Monday to Friday (36.25 work hours per week).
Work Location: Hybrid – 4 days per week remote-based; 1 day per week onsite at Client’s downtown Toronto office, near TTC Station.

Responsibilities Summary:    
Responsible for all administrative and coordinative aspects of learning and organizational development HR program.

  • Administer and coordinate leadership development training programs, including logistics, scheduling, registration, communications, and orientation.
  • Plan and execute training initiatives including vendor/facilitator research, booking vendors and processing service contracts, booking training rooms, setting up courses in learning management system, producing and distributing related internal communications and marketing initiatives, processing training course registrations, training course logistics (room set up/take down, AV, and materials preparation), attendance tracking, and summarizing and reporting on results.
  • Facilitate use of digital learning tools such as webinars to support distance learning.
  • Coordinate course evaluation including quality, content, delivery, learning needs and objectives, and learner experience, and prepare summary reports including themes and trends.
  • Track and prepare quarterly performance metrics for learning and development and organizational development initiatives, and prepare summary reports.
  • Manage Learning and Development intranet site content. Troubleshoot any site issues, and refer IT related matters to IT Department.
  • Work with HR Advisors to coordinate Employee Recognition and Awards, and Employee Engagement Programs.
  • Lead Summer Student Recruitment Program including completing organization’s application for funding through Canada Summer Jobs Program.
  • Coordinate New Hire Onboarding Sessions including preparation of briefing materials, and initiating electronic employee on-boarding process.
  • Maintain grievance log for labour relations matters, and support grievance, arbitration and negotiations processes as required.
  • Respond to general HR program inquiries, providing complete, accurate and helpful information.
  • Present a welcoming environment for new employees.
  • Additional HR Program administrative and coordinative support responsibilities as required.

Education: Post-secondary Degree or Diploma in HR Administration or related field.
Professional Credentials: Certificate in accredited Human Resources program preferred.
Preferred Work Experience:  At least 5+ years of administrative coordination experience within an HR department.
Preferred Sector Experience: Unionized, healthcare, public sector and/or not-for-profit employment sector experience preferred.

Technical and Language Skills Requirements:

  • Proficiency with MSOffice including Word, Excel, PowerPoint, Outlook, Access (may be tested).
  • Proficiency with SharePoint (may be tested).
  • Familiar with online HRIS and ATS systems.
  • Familiar with online survey creation tools.
  • Familiar with Learning Management Systems.
  • Proficient English communication skills, both written and verbal, including strong business writing skills and excellent spelling, grammar, proofreading and syntax (may be tested).  Polished and professional telephone manners.

  • Advanced organizational, coordinative and time management skills, with the ability to prioritize work effectively for self and others, meet tight deadlines and work well under pressure.
  • Strong relationship management skills including client and vendor relations management, business networking, negotiation, and consulting/advisory skills.  Excellent listening skills, and the ability to provide and receive effective feedback.
  • Demonstrated successful experience of prioritizing work, making decisions and communicating with others within a values framework of respect, equity, anti-racism, diversity and inclusivity.

Additional Requirements:

  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to work both remotely and onsite as required, abiding by organization health and safety policies.
  • Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities prior to assignment start.
  • Provision of certification of AODA and OHSA online training course completion prior to assignment start.
  • Provision of certification of full COVID-19 vaccination series prior to assignment start.
  • Satisfactory Background Checks, Technical Skills Evaluations, and Employment References.
