Executive Assistant to Executive Office, for regulatory organization client, remote-based.

Initial Term: December 15, 2022 to January 20, 2023
Compensation: $36 per hour.
Regular Work Hours: 8:30 am to 5 p.m. not including unpaid .5 hour lunch break and .5 hour additional unpaid breaks to be scheduled in accordance with direct supervisor, Monday to Friday (37.5 work hours per week).
Work Location: 100% remote-based.

Responsibilities Summary:  
Provide administrative support to the President & Chief Executive Officer; and the Chief Operating Officer.

  • Represent Executive Office to a diverse constituency, responding directly to inquiries and requests as needed.  
  • Maintain effective working relationships with internal and external stakeholders, including Board of Directors and Senior Managers.  
  • Task and time management and prioritization, responding to situations with appropriate urgency, resolving conflicting priorities, communicating with relevant participants accordingly, and following up as needed.  
  • Coordinate Senior Management Team activities to support Executive Office priorities.
  • Compose and prepare confidential correspondence.
  • Calendar management including compilation of meeting materials. May attend and minute meetings as required.
  • Travel arrangements including itinerary development.
  • Provide administrative support to assigned committees.
  • Complete expense reports.
  • Additional administrative support responsibilities to the Executive Office as required. 

Education: College Diploma in Business Administration, Human Resources, or related discipline.
Preferred Work Experience:  At least 5+ years of work experience providing administrative support to an Executive Office, preferably in a regulatory environment.

Technical and Language Skills Requirements: 

  • Advanced proficiency in MSOffice, including Excel, Word, PowerPoint, and Outlook (may be tested). 
  • Fast and accurate typing speed, and ability to take meeting minutes (may be tested).
  • Familiarity with online meeting software applications and conference call technology.
  • General strong technical proficiency and comfort with utilization and application of software.
  • Advanced English communication skills, both written and verbal, including strong business writing skills and excellent spelling, grammar, proofreading and syntax. Polished, professional telephone manners.

  • Advanced organizational, coordinative and time management skills, with the ability to prioritize work effectively for self and others, meet tight deadlines and work well under pressure.
  • Strong relationship management skills including client and vendor relations management, business networking, negotiation, and consulting/advisory skills.  Excellent listening skills, and the ability to provide and receive effective feedback.  
  • Demonstrated successful experience of prioritizing work, making decisions and communicating with others within a values framework of respect, equity, anti-racism, diversity and inclusivity.

Additional Requirements:    

  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to 100% remotely, abiding by organization health and safety policies.
  • Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities prior to assignment start.
  • Provision of certification of AODA and OHSA online training course completion prior to assignment start.
  • Satisfactory Background Checks, Technical Skills Evaluations if required, and Employment References.
