Bilingual Receptionist for provincial government Ministry client, downtown Toronto.

Job Type:  Temporary.
Initial Term:  April 2, 2024 for approximately 6 months, with possibility of further extension.
Compensation:  From $24.28 per hour to $28.23 per hour.

Regular Work Hours:    From 9 am to 5 pm, less .5 hour unpaid lunch and two 15 minute breaks, for a total of 7.25 paid work hours per day, Monday to Friday (36.25 work hours per week).
Work Location: 100% onsite at client’s downtown Toronto office, near TTC station.
Onsite Dress Code:  Corporate or Business Casual attire, according to client business requirements.

Bilingual Receptionist – Responsibilities Summary:    
To perform reception and counter-clerk duties in both French and English for high profile public information desk, and to provide clerical and administrative support services for Ministry staff. 

  • Provide front-line customer service response to routine inquiries on Ministry program information and requirements.  Respond to all customers with courtesy and tact, including the occasional irate or belligerent caller.  
  • Answer multi-line telephone switchboard calls; reroute/send messages via e-mail and written message systems to Ministry staff; and refer callers to other divisions or ministries as appropriate.
  • Assess and determine nature and urgency of incoming requests, inquiries or complaints via phone and email and direct accordingly to appropriate staff member or operations area.  Record all incoming communications into a correspondence tracking system.
  • Professionally receive and welcome visitors, including senior government and private sector officials, and direct them to the appropriate staff or ministry official.
  • Compose routine letters and memos in both English and French.
  • Book boardrooms and meeting rooms using computerized calendar system.
  • Open, date stamp and distribute mail and courier delivery packages.
  • Provide general clerical and administrative support, including photocopying, setting up meetings, distributing hard copy or electronic documents, records management, and ordering office supplies.
  • Additional reception, customer service, administrative and clerical support responsibilities in both French and English, as required. 

Bilingual ReceptionistQualifications:  
Education:  Post Secondary Degree or Diploma in public administration, business administration, or equivalent combination of education and work experience.
Preferred Work Experience:  At least 2+ years of progressive experience in bilingual office administration and customer service, interacting with people at all levels of seniority, and working extensively with the general public.

Technical and Language Skills Requirements:    

  • Demonstrated fluency in French, both verbal and written (will be tested).
  • Excellent English communication skills, both written and verbal, including proficient business writing skills, excellent spelling, grammar, proofreading and syntax, and polished, professional telephone manners (may be tested).
  • Demonstrated proficiency with MSOffice applications, including Word, Excel, Outlook and PowerPoint (will be tested).   
  • Strong typing and data entry skills (will be tested).
  • Proficiency with operating a multi-line telephone switchboard.
  • Proficiency operating standard office equipment including photocopiers, fax machines, printers, postage machines, etc. 

Bilingual ReceptionistTask -Based Qualifications and Additional Attributes:     

  • Experience with provision of counter and telephone reception services.  Proven tact and diplomacy necessary for interacting with senior executives and the general public.
  • Experience with executive office protocols, and reception desk methodologies and best practices.  
  • Demonstrated understanding of office procedures, practices and guidelines in relation to release of information, records maintenance, and documents formatting, in order to provide support in these areas and maintain appropriate confidentiality.
  • Punctual, responsible, and reliable.  Demonstrated record of professional conduct and character.
  • Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates.
  • Pleasant and courteous.  Demonstrated commitment to client service and professional representation of the organization.  
  • Proficient de-escalation skills.  Ability to surmount internal and external job pressures.  Excellent listening skills, and the ability to provide and receive effective feedback.  
  • Superior attention to detail, and organized, methodical approach to completion of tasks.
  • Demonstrated successful experience of prioritizing work, making decisions and communicating with others within a values framework of respect, equity, anti-racism, diversity and inclusivity.

Additional Requirements:    

  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to work 100% onsite, abiding by organization health and safety policies.
  • Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities.
  • Ability to complete a satisfactory Provincial Government security check, including a Fingerprint Check, prior to assignment start. Please note that Marberg will reimburse for the cost of the security checks upon confirmation of assignment start and submission of approved expense receipts.
  • Provision of certification of AODA and OHSA online training course completion prior to assignment start.
  • Additional satisfactory Background Checks, Technical Skills Evaluations, and Employment References as required.
