Bilingual Administrative Coordinator for Health and Safety program for union office client, mid town Toronto.

Initial Term:  ASAP for approximately 3 months.
Compensation: $30 per hour.

Regular Work Hours:  From 8 am to 5 pm not including 1 hour unpaid lunch break, to be worked during regular business hours, Monday to Friday (40 work hours per week).
Work Location: 100% onsite at client’s mid town Toronto office, near TTC station and with free parking provided.

Responsibilities Summary:    
Provide bilingual French-English front desk reception, administrative support, clerical processing, Health and Safety program support, and Health and Safety special events coordination services for union office, mid town Toronto.

Reception and Office Administration Services

  • Receive, respond to and forward incoming telephone calls in both French and English.
  • Receive, open and distribute incoming mail.
  • Enter and track courier deliveries into online tracking systems and spreadsheets.
  • Maintaining onsite attendance roster for fire safety purposes.
  • Monitoring and replenishing office inventory as required.

Health and Safety Program Support Services

  • Support preparations for upcoming Health and Safety Justice Conference.
  • Prepare, format, print, photocopy and collate information packages for distribution.
  • Schedule and set up appointments, meetings and Zoom calls.
  • Prepare for committee meetings including registration and attendance lists, flight and rental car arrangements, and other travel or accommodation arrangements as needed.
  • Attend committee and planning meetings and take notes.
  • Prepare and distribute event promotional materials, and create name cards and handouts for distribution at the event registration desk.
  • Maintain Health and Safety program hard copy records and digital files and databases.
  • Prepare and process invoices.
  • Additional reception, administrative and program events coordination support responsibilities as required.

Qualifications:  
Education:  High school Diploma.
Professional Credentials:  Health and Safety course completion.
Preferred Work Experience:  At least 5+ years of progressive experience in administrative and events coordination, as well as Health and Safety Committee involvement.
Preferred Sector Experience:  Health and Safety work experience preferred.  Union or social justice sector work experience preferred.

Technical and Language Skills Requirements:  

  • Fluency in French and English, both written and verbal (will be tested), including satisfactory business writing skills, strong spelling, grammar and syntax, and professional telephone manners.
  • Proficient MSOffice including Word, Excel, PowerPoint and Outlook (will be tested).
  • Strong data entry and typing speed (will be tested).

  • Demonstrated successful experience of prioritizing work, making decisions and communicating with others within a values framework of respect, equity, anti-racism, diversity and inclusivity.

Additional Requirements:    

  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to work 100% onsite, abiding by organization health and safety policies.
  • Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities.
  • Provision of certification of AODA and OHSA online training course completion prior to assignment start.
  • Provision of certification of full COVID-19 vaccination series prior to assignment start, subject to reasonable accommodation per the Ontario Human Rights Code.
  • Satisfactory Background Checks, Technical Skills Evaluations, and Employment References.
