Administrative Coordinator required for a Provincial Government Agency.

Responsibilities

  • Liaise with vendors and oversee the provision of services
  • Responsible in issuing access cards to staff and coordinate evacuation drills and deliver fire warden training,
  • Maintain and execute a schedule of routine testing & maintenance on security equipment
  • Coordinate contract approvals and execution and monitor existing contracts for renewal & extensions
  • Prepare invoices for approval and manage vendor to contract terms.
  • Generate Purchase Orders as required by vendor or by policy
  • Track invoices and prepare for approval
  • Monitor expenditures against budget, identifying variances and discrepancies,
  • Review monthly, quarterly and year-end financial reports


Qualifications

  • 2-3 year College diploma, preferably in Business/Office Administration and/or Facilities Management
  • Advanced knowledge of Occupational Health & Safety Act (OHSA), and Accessibility for Ontarians with Disabilities Act (AODA)
  • Intermediate to advanced knowledge of MS Excel and Word
  • Experience with Microsoft Dynamics GP or similar general ledger software
  • Excellent customer service in a professional environment
  • Excellent verbal and written communications and problem-solving skills
