Job Type:  Temporary, initial 3 month term
Hours:  8:30 am to 4:45 pm, M-F, with 1 hour unpaid lunch break
Compensation range:  $22-24/hr

Responsibilities:

  • Provides administrative support to Director and department as required.
  • Manages Director’s calendar.
  • Coordinates work flow in support of department.
  • Responds to calls and provides information to contacts regarding program specific administrative processes.
  • Coordinates administrative matters for the department (e.g. invoice processing, maintaining supply inventory and purchasing supplies and equipment, contracts, PCard reconciliation, human resource forms).
  • Arranges scheduling and logistics of meetings.
  • Maintains filing systems, both electronic and hard copy
  • Monitors and maintains lists for the unit (e.g. contact lists using within the Stakeholder Relationship Management system).
  • Provides word processing, spreadsheet and related services.
  • Contributes to, and provides input into unit business processes/ procedures.
  • Provides back up support to team members during peak periods.
  • Performs other administrative/office support duties as assigned.

Qualifications:

  • Completion of a post-secondary secretarial or administrative assistant program or related degree/diploma.
  • 3+ of related administrative support experience.
  • Typing 60 wpm, proficient MSWord, Excel, Outlook and PowerPoint.
  • Exacting attention to detail.
  • Excellent communication skills, both written and verbal.
  • Excellent professional judgement and interpersonal skills as required by a busy, high profile and confidential environment.
