Administrative and Project Coordinator, Professional Regulatory Association, currently remote-based.

Job Type: Temporary, initial term 4-6 months, with possibility of extension.
Compensation: $30/hr to $35/hr, according to experience.
Work Location:  Currently remote-based.  Equipment will be provided.

Responsibilities Summary:    

  • Position reports to a Senior Project Manager, and provides a full range of administrative services.
  • Booking onsite, teleconference and video conference meetings and recording meeting attendance.
  • Preparing and distributing meeting agendas and briefing materials.
  • Taking and circulating meeting minutes.
  • Preparing a range of documents, including contracts, service agreements, purchase orders, and nondisclosure agreements for signature and distribution.
  • Processing invoices through the Finance Department.
  • Tracking external consultant hours for invoice verification purposes.
  • Acting as the primary liaison for the project teams, and corresponding with internal and external project stakeholders through the full cycle of the ongoing projects.
  • Coordinating focus groups and review sessions with internal and external stakeholders.
  • Uploading surveys and questionnaires to Survey Monkey and track and summarizing responses.
  • Transcribing notes from recorded and verbal communications.
  • Creating and maintaining MSExcel spreadsheets.
  • Additional administrative, coordinative, business writing and documents processing responsibilities as required.

Qualifications: 

Education: Post secondary Degree or Diploma requiring strong writing skills.
Preferred Experience:  At least 3+ years of senior level office administration experience.  Experience from a professional association, advisory services, not-for-profit-governance, regulatory, academic or similar environment an asset.

Technical Skills Requirements: 

  • Advanced proficiency in MSOffice Suite, including Word, Excel, PowerPoint, Outlook (will be tested).
  • Fast and accurate typing speed (will be tested).
  • Excellent spelling, grammar, punctuation and syntax (will be tested).
  • Excellent proofreading skills and attention to detail (will be tested).
  • Experience with databases.
  • Strong business writing skills; ability to take minutes from hard copy notes or directly into a laptop computer.
  • Experience with verbal or dicta transcription an asset.

  • Demonstrated successful experience of prioritizing work, making decisions and communicating with others within a values framework of respect, equity, anti-racism, diversity and inclusivity.
