Job Description: 

Bilingual Administrative Assistant required for well-established company in Toronto. Responsibilities include drafting correspondence, editing and copy editing, formatting, finalizing, proofreading documents from other departments in English and French. Setting up conference calls and videoconferences and booking meeting rooms. Assist with conference arrangements and registration, travel arrangements. Assisting with schedules to ensure deadlines are adhered to. Assisting staff filing expenses. Sorting and distributing incoming mail, processing outgoing mail. Maintain accurate and up-to-date electronic contact information on electronic and physical filing and storage systems. Scanning, and photocopying documents and assisting in collating and stuffing bulk mailings, and occasionally with office-wide outgoing mail. Lifting and moving bankers’ boxes of files in some departments for storage or retrieval with off-site provider. Providing reception relief as needed. Provide general office support or support for other departments as requested by or through administrative assistant. Ideal candidate must possess excellent Microsoft Office skills in Word (including tables, mail merges, styles, tracking, formatting); Excel (including creating and editing spreadsheets, researching formatting issues and formulas, troubleshooting); Access (including maintaining database, searching, creating queries, adhering to protocols and processes); Outlook (including calendar management); PowerPoint (including formatting, editing and troubleshooting). Must be fluently bilingual (speaking, reading, writing) in English and French. Proofreading certification or extensive experience in proofreading in French and English is a definite asset. Must possess excellent organizational skills and attention to detail. Must possess excellent oral and written communication skills. Experience with InDesign is an asset.
