Job Description: 

Executive Assistant required for a Non-Profit organization. The role requires the incumbent to be in the office the majority of the time to manage the CEO’s flow of meetings. Heavy collaboration and work with the Chief of Staff throughout. Responsibilities include effectively manage the executives' calendars by coordinating meetings and conference calls across different time zones. Work proactively to consistently anticipate scheduling conflicts, and facilitate alternatives in collaboration with the Chief of Staff. Manage all incoming internal and external requests, while ensuring that organizational priorities are always being maintained. Coordinate all meeting preparation, including document creation and preparation, as well as briefing notes, in collaboration with the Chief of Staff. Responsible for arranging all travel components, in conjunction with the other Travel Manager, and organizing frequently changing travel plans. Foster strong internal and external relationships to effectively coordinate meetings, events, and speaking engagements in a timely manner. Maintain the highest level of accountability, disclosure, and regularly exercise a high degree of discretion. Provide administrative support on a variety of tasks both off-site and in the office, with respect to upcoming travel, events, meetings and conferences, as well as personal assistance to the CEO. Manage personal appointments and requests as needed. Undertake a variety of additional tasks and projects as requested by the Executive Office. The support of other Department Directors within the Retail and Trips division may be required on occasion. Ideal candidate must possess a minimum of 3 years of relevant professional experience as an administrative or executive support. Must possess a Bachelor’s degree, diploma or certificate. Must possess strong project management and internal process-building skills. Must possess excellent understanding of Microsoft Office Suites including Outlook. Must possess strong interpersonal and oral and written communication skills. Must be positive, energetic and enthusiastic with a strong work ethic. Must possess strong relationship management skills. Must possess a high attention of detail, and a high-level of accountability for the quality and timely completion of projects. Must be able to manage high volumes of emails, Must be able to work well under pressure and meet tight deadlines. Must possess excellent time-management and multi-tasking skills in a demanding and fast-paced work environment.
