Job Description: 

Executive Assistant required for well-established IT Company. Will be responsible for maintaining a close and highly responsive relationship to the day-to-day activities of multiple Senior Executives. Organizing off-site meetings, teleconference and travel logistics, including flights, ground transportation and/or hotel reservations. May be required to attend meetings. Be responsible for heavy calendar management requiring interaction with both internal and external clients, executives and assistants, this will include calendar interaction with various time zones. Prepare presentations and reports for external/internal meetings, appointments and conference calls. Research and collate information from a variety of sources such as reports, documents and correspondence. Screen, analyze and respond to incoming mail, attend to outgoing mail, courier and faxes. Receive, screen and handle telephone calls. Prepare and send out communication on behalf of Executives. Arrange team events and related catering and logistics. Regularly handle confidential material, information and exercises with discretion. Prepare and submit expense reports. Collaborate with and support other Executive assistants and Travel Coordinator as needed. Assist with other general administrative duties such as ad hoc projects, filing, faxing, ordering, mailing, etc. Ideal candidate must possess a Post-secondary Education preferably a Bachelor’s degree. Must possess a minimum of 4 years of progressively more responsible work experience directly supporting several executives in a fast-paced environment. Must possess a strong proficiency with Microsoft Outlook, Word, PowerPoint, Excel, Skype/teleconferencing. Must possess excellent oral and written communications skills. Must possess strong time management and organizational skills. Must possess the ability to work independently and in a team environment as well as with a great deal of autonomy. Must possess prioritize and manage multiple tasks with strong attention to detail, flexibility to meet and adapt to changes in the organizational priorities. Must be able to handle confidential and highly sensitive information with tact and discretion. Must be able to exercise great judgement, be positive and proactive.
