Job Description: 

Executive Assistant/Corporate Receptionist required for a Wealth Management firm. Responsibilities include answering incoming phone calls through centralized reception and route to a correct person. Enter client information (e.g. EOB, address updates) into Salesforce database. Send e-mail authorizations to clients. Coordinate and prepare client newsletters & mailers (electronic and hard copy). Appointment booking including calendar entry & coordination. Appointment confirmations & mailing/collection of any pre-appointment material. Appointment preparation (e.g. agenda, copies of client statements). Greeting and welcoming clients upon arrival. Post appointment duties including administrative processing, creating follow ups and client thank-you notes. Coordinate client meetings, conference, personal commitments, make travel arrangements and handle registration for all conferences. Open and organize mail, distribute to team members or handle where possible. Ensure office is clean and prepared for client meetings and maintain supplies. Ideal candidate must possess a Post-secondary education in related field. Must possess minimum of 2 years of receptions/office administrative experience. Must possess excellent oral and written communication skills. Must be organized and be able to multitask in a fast-paced environment. Must possess great accuracy and a high attention to detail. Must be proficient with computers and Microsoft Office applications. Experience working with Salesforce is an asset.
