Job Description: 

Finance Clerk required for a Not-for-Profit organization. Responsibilities include daily deposit and summaries, along with update of deposit control sheets. Overseeing the token/metro pass process- includes ordering, distribution, and month end reconciliation. Maintaining Fixed Asset register and labelling. Distributing the Agency’s attendance information tracking system and Financial Statements to applicable managers/supervisors. Will be providing back-up support to Accounts Payable clerk. Assisting AP with the weekly cheque run which includes the distribution of cheques, verification of attachments and ensuring all cheques are signed. Reconciling and analyzing various financial information on a monthly basis as assigned. Filing for both Finance & Purchasing (both monthly and at year end). Completion of the monthly visa expense statements for the Agency, including distribution of statements to staff, coding of expenses, calculation of HST, and inputting of the entry into the Accounting system. Maintaining Purchase Order log book. Responding to purchasing inquiries from employees in a timely manner and communicating purchasing policies and procedures to staff with purchasing needs. Sourcing out vendors and negotiating prices as required to obtain best value. Entering Purchase orders into Accpac. Maintaining and updating approved vendor list in computer file and updating hard copy material when necessary. Inputting of pricing data, typing, filing, distribution/mailing of packing slips, invoices, purchase requisitions, and purchase orders. Overseeing the external file storage process for the agency (destruction determined by liaising with staff and external storage company). Preparing inventory list of donated items to Agency. Providing reception relief when needed. Providing other administrative support to Finance & Purchasing as required. Ideal candidate must possess a College diploma plus some accounting and purchasing experience with 3+ years’ work experience is preferred. Must possess knowledge and ability to use ACCPAC, Microsoft Excel and Word (at an intermediate level). Must possess excellent organizational skills. Must possess excellent verbal and written communication skills. Must possess strong client service orientation and demonstrated problem-solving skills. Must be a quick learner.
